This position is responsible for providing a variety of clerical and technical support services to all departments within Gruber Law Offices, LLC. (the Firm) to include opening files, gathering accident reports, processing mail, data entry, making copies, filing, setting up conference rooms, stocking cabinets, serve as back up greeter, moving items to storage and maintenance of break room. Responsible for carrying out Firm mission and following Firm guiding principles.
Essential Duties and Responsibilities
Responsible for collecting mail from designated areas in the office, bringing mail to building mail room and delivering mail or packages as needed.
Responsible for using all offices appliances such as computers, photocopiers, printers, scanners and fax machined to support Firm business needs this includes making copies and replenishing paper in copiers and printers.
Responsible for data entry into case management system and other miscellaneous reports, correspondence or tasks ensuring on time, accurate entries and documents.
Responsible for collecting faxes from all copiers and distributing to recipient.
Responsible for filing of Firm paperwork, records, documents, etc.
Responsible for setting up conference rooms for meetings and depositions. Responsible for cleaning after conclusion.
Responsible for monitoring the stock of shared office supplies, report when there is a shortage and stock cabinets to replenish supply.
Responsible for serving as the backup greeter at the front desk.
Responsible for moving items boxed to storage and retrieving from storage when needed.
Responsible for the ensuring the break room remains well maintained, coffee made and items stocked.
Maintain confidentiality of information processed.
Responsible for carrying out Firm mission and following Firm guiding principles.
Must attend all required trainings, meetings and other professional development opportunities as described by the Firm.
